How do I switch from POP to IMAP in Apple Mail?

  • You can choose between either POP or IMAP email protocols. You typically cannot "change" a POP account over to an IMAP account, but must disable the POP account and set up a brand new account as an IMAP.

    Below you will find the process for migrating from POP to IMAP on a Mac using Apple Mail.

    Settings for the IMAP account:

    In all instances where a username is requested please use your full email address.

    Incoming mail server: imap.everyone.net
    Port: 143

    Outgoing mail server: smtp.everyone.net
    Port: 25, or 2525

    SSL should be disabled in all instances
    'Authentication' should be enabled in all instances, your full email address will be the username, along with the password for your account.

    1. Back up your inbox.

    - Open up your computer user file, this is represented by a 'house' icon when a new Finder window is opened. Inside your user there is a Library folder, and inside the Library folder is one titled 'Mail'. Making a duplicate or backing up this folder before proceeding is recommended but not necessary.

    - Next go into the Mail application and click the '+' sign in the bottom left hand corner of the window. This action creates a new mail folder in the Mail application. You will be prompted to select where this folder will live, and from the dropdown menu select 'on my mac'.
    - You will need to give this folder a name, such as 'Archive'.
    - Next you will need to move all messages from your inbox into this folder. This may take awhile depending on how much email you are moving.

    2. Deactivate your POP account. (Do not delete it!)

    - Under the 'Mail' menu access your mail preferences. In the top portion of the preferences panel click on 'Accounts'. Select the POP account that you are deactivating in the left hand column and then click the 'Advanced' button. The first checkbox on this pane is 'Enable this account'. Please un-check this option.

    3. Set up your IMAP account.

    - Click the '+' sign in the lower left corner of the preferences pane. This action creates a new mail account. When first prompted for an account type select IMAP and proceed through the steps using the information I have supplied above.

    Once the account has been established you are welcome to leave the messages you have moved to the 'archive' folder where they are, or move them back into your inbox if you wish for them to be shared across your different computers.

    Repeat these steps on all computers you use to access these accounts.

    sad I’m stumped.
    I've followed the above steps...it looks like my email account has been activated, but I'm receiving the following error message: "the connection to the server "imap.everyone.net" on port 993 timed out." I'm not able to see or send emails.

    I figured out how to change the outgoing port to "2525", but it still looks like the email is trying to use port 993 for some reason. In my process of setting up, there was never an option for inputting an incoming port either, which I thought was wierd.

    I need to get this set up asap...any help would be appreciated.

    You're able to make adjustments to your incoming port settings via Mail Preferences here:

    Accounts > Advanced (sub-menu)

    The incoming port number for IMAP account should be set to 143.

    For reference, you can also adjust outgoing server settings after setting up an IMAP or POP account via:

    Accounts > Account Information (sub-menu) > Outgoing Mail Server (drop menu at the bottom) > Edit Server List (last option in this drop menu)

    The outgoing port should default to 25, but you may need to manually select custom port 2525 when connecting through certain ISPs.

    The SSL box should always be UN-checked.

    I would like to set up my home computer to be able to receive emails from my work (studio) email account. Can I do that? In other words I have a verizon.net personal email I wish to keep, but also my studio email. Can I keep both or is it easier to just forward emails to my verizon.net account when I am leaving the office?

      I personally have five different IMAP accounts set up in Apple Mail! You're free to set up as many as you like and I think that the value of having everything centralized within this software really becomes apparent once you've set up your studio, personal, and other accounts all in one...

    I am using POP setup, it constantly deleting email from webmail, after it downloaded to my computer. it only keeps 1 week of the new email in my account.
    Is there any place to set it back? so that it keeps a copy on my webmail account even the email has been downloaded to my computer ?

      If you wish to keep your email messages on the server you should change your email account from the POP protocol to the IMAP one. You can find out more about the difference between POP and IMAP in this forum post here.

    When I open emails on my home computer, they automatically erase from my iPhone. Is there a way to stop this from happening and to only have them delete once I delete them from my home computer?

      From what you are describing it looks like the email on your computer is set up as POP and the iPhone as IMAP. If you are checking your email from multiple devices you have to make sure all are set as IMAP. The POP protocol will download all your messages from the server to your computer, and that is why emails are dissapearing from your iPhone. The IMAP protocol downloads a copy of the message, but leaves it on the server so that if you use multiple devices to check email they will syncronize and display all the messages.

    I have a MacBook and an iPhone and I use mail on both. I didn't pay attention when I was first setting mail and my main account, the Hotmail one. Now on my iphone I have access to the folders I created on the server but not on my Mac. And mail on my Mac shows all the emails in my inbox, but they've disappeared from the server and I don't have them on my iphone either. This is very frustrating! I tried doing what you said, disabling my hotmail pop account and creating a new one with the same information but it won't let me. I get this message that you can see on the picture. Any solution?
    Also my Mail Preferences is set a little differently, for example the box "enable this account" is on the account information tab for me. But I don't think that any problem.

      Hello Lucie,

      From your description it looks like the email account on your Mac is a POP account and the one on your iPhone is IMAP. If this is the case you must follow the instruction at the beginning of this post to move your email from your Mac back to the server. For this you will have to deactivate the POP account and that should take care of the error shown in the screen-shot above.     • I am having this same problem when trying to change my Cableone.net account on my Mac from POP to IMAP. It is set to IMAP on my iPhone as well. When disabling the POP account and trying to add it again, I get the same message as above. It doesn't go to the screen where I can select options for the mail account in setting it up.
